Secure transfers via SSL

To prevent third parties from intercepting, decoding or compromising data, FileForward uses Secure Socket Layer (SSL) protocol encryption to encrypt all traffic transferred between its servers and devices like office computers, laptops or PDAs.

SSL creates an encrypted tunnel between the server and a user's web browser. This tunnel transfers all information including files and messages. The decryption key is known only to the web server and the web browser, making it impossible for third parties to intercept, decode or compromise the data.

SSL also ensures data integrity by checking data as it arrives at the destination. If the data has been modified en route, the SSL protocol detects this change and requests the data is resent.

FileForward works with any web browser using the secure HTTPS protocol through port 443.This minimises potential risks as it does not require special software or network configuration. Users can access their account from anywhere, using their own desktops, laptops or shared computers in locations like hotels, conference centres or internet cafes.

Built-in application security features

FileForward has a host of built-in features that form additional layers of security to protect customer data. These include:

  • Password protected access
    Users of a FileForward account are required to login using their registered email and password.
  • Granular access control to individual files and folders
    FileForward lets customers set different levels of access – none, read-only or full – for each user or group, by individual file or folder. Customers control what files and folders are visible to a user upon logging in and what they can and cannot do with them.
  • Roles
    Roles grant specific account management tasks to users or groups. This allows management of a FileForward account to be delegated in a controlled and auditable manner without creating a single administrator bottleneck.
  • User & Group management
    FileForward provides easy user management in larger organisations through a widely used user-group topology. Permissions and roles can be assigned to users or groups ensuring fast and strict control of privileges.
  • Shares
    Users can password-protect shared files or folders, requiring recipients to enter the password before retrieving shared items.
  • Alerts
    Users can set up any number of email or secure RSS alerts to notify them when events like upload, download, check-in or check-out occur on specified files or folders. This forms an additional layer of security, in addition to alerting users when files arrive for their attention or when files have been received by the intended recipient.
  • Document Versions
    FileForward automatically saves a copy of historic versions each time a new version of a file is uploaded, allowing users with sufficient privileges to download or restore a previous version at any later point in time. This guards against data loss due to overwriting.
  • Recycle Bins
    Like the trashcans on computer desktops, the recycle bin guards against accidental deletion of files. Recycle bins can be set to automatically purge deleted items after a set period of time.
  • Archives
    Customers can archive any file or folder, creating a point-in-time snapshot that can be easily downloaded or restored at any later point in time.
  • Audit Trail
    Details of events that occur in a FileForward account are logged in the audit trail, providing an indispensable log of who did what and when. This is a must for organisations required to keep records for internal or compliance purposes.

Infrastructure & Data Centre security

FileForward uses best practice to ensure customer files remain secure while stored on its servers. These include:

  • ICSA certified firewall guarding network perimeter.
  • Deep Packet Inspection (DPI) - a form of computer network packet filtering that examines the data and/or header part of a packet as it passes through the network, searching for protocol non-compliance, viruses, spam, intrusions or predefined criteria to decide if the packet can pass or if it poses a potential risk.
  • Real-time antivirus and anti-malware protection on all servers.
  • Timely patching of servers with security updates.
  • Data centre security - CCTV, full proximity card access control, 24/7 security guards & RedCare GSM alarm system.
